How it Works

Get Started Today

Step 1: Submit Your Request

Submit your appointment request and our staff will review availability and contact you with next steps. You may also call or email our office to schedule directly. Telehealth patients must be located in North Carolina during their visit.

Step 2: Complete Your Paperwork

You’ll receive a secure link to your new-patient forms through your patient portal. Completing these promptly allows our staff to finalize your appointment.

Step 3: Attend Your First Session

Arrive 10–15 minutes early (or log in 5 minutes early for telehealth). Bring a list of medications or your bottle(s). A parent or guardian must attend the first appointment with any patient under 18.

WHEN IS IT HELPFUL TO CONSULT WITH A PSYCHIATRIST REGARDING PSYCHIATRIC TREATMENT?

When you have noticed a change with your mood, your nerves, your thought processes, or your behavior, and you are not sure why.

When you have been taking psychiatric medications from your primary care doctor, but your symptoms don’t seem to be getting better.

When you have been taking psychiatric medications but wonder if they are necessary, if they are causing side effects, or whether there are better choices for you .

When you have been seeing a therapist or counselor, and they recommend a psychiatric consultation.

When you feel that you need a second opinion following a psychiatric evaluation.

Policies and Fees

Patient Eligibility

Dogwood Psychiatry welcomes patients ages 6 and older for outpatient psychiatric care. Patients outside this age range may be considered on a case-by-case basis, particularly established or returning patients. At this time, we are unable to treat active substance use disorders, dementia syndromes, or patients with Medicaid, as state regulations prohibit Medicaid patients from paying out of pocket. If you are seeking care for a condition outside of our scope, we are happy to provide referrals to more appropriate resources.

Telehealth Policies

Telehealth appointments are available for eligible patients who are physically located in North Carolina at the time of the visit. Some appointments—such as controlled substance management, annual visits, and certain evaluations—require an in-person visit.
For the full list of telehealth requirements, please view our Telehealth Policies on the Office Policies page.

Arrival Policy

Please plan to arrive 15 minutes early to ensure you receive your full allotted time. If you are a telehealth patient please be logged into your appointment 5 minutes prior to your appointment time.

Our providers may need to reschedule if:

  • New patient appointments are 15+ minutes late, or
  • Follow-up appointments are 10+ minutes late.

Late arrivals that require rescheduling may result in a late or missed appointment fee.

Cancellations and No-Shows:

We understand that you have a life with its own commitments and that unexpected changes can arise. With more than 24 hours’ notice, we are happy to try to accommodate your schedule to the best of our ability.

If you need to cancel or reschedule a session, please provide at least one business day (24 hours) notice. For example, appointments scheduled for a Monday must be cancelled on or before the preceding Friday.

Effective November 1, 2025, if you miss a session without canceling or cancel with less than 24 business hours’ notice, you will be charged $200 for a missed new patient appointment and $100 for missed follow-ups. This charge must be paid before a new appointment can be scheduled.

Please note: insurance companies do not provide reimbursement for late cancellations or no-shows.

Insurance, Billing, and Fees

We strive to provide transparent pricing and flexible payment options.
Instead of keeping billing details scattered across multiple pages, all fees, accepted insurance plans, and payment policies are now consolidated on their own dedicated page.

Privacy and HIPAA:

We take your privacy very seriously.

The law protects the privacy of all communications between a client and mental health provider. In most situations, your provider can only release information about your treatment to others if you sign a written authorization form that meets certain legal requirements imposed by the Health Insurance Portability & Accountability Act of 1996 (“HIPAA”).

HIPAA is a federal program that requests that all medical records and other individually identifiable health information used or disclosed by us in any form, whether electronically, on paper, or orally be kept properly confidential. This Act gives you, the client, the right to understand and control how your personal health information (“PHI”) is used. HIPAA provides penalties for covered entities that misuse personal health information.

For more information about HIPAA, your rights as a client, or limits to confidentiality, please discuss with your provider.
